Administrative Assistant - MD

Location: Lebanon, NH

As the Administrative Assistant to Medical Doctors you will serve as the primary person responsible for managing the prescribers schedule and ensuring a smooth and efficient work flow to all Medical Doctors and prescribers working from the site. This position is 3 days in Lebanon and 2 days in Claremont.

  • Manage the schedule of medical staff to ensure no open time and follow prescribed steps to reduce and control the likelihood of no shows.
  • Triage all incoming phone calls to medical staff. Communicate effectively with medical staff about incoming phone calls; perform call backs as appropriate and as directed.
  • Review and prepare all medication refills and accurately verify information and/or requests against the clinical record.
  • In consultation with medical staff, complete all preauthorization requests forms for medical staff signature. Accurately verify preauthorization requirements for client’s medication.
  • Monitor and maintain adequate supply and organization of sample medications. Contact pharmaceutical companies to request samples as needed or directed.
  • Accurately complete required information on all forms and present to medical staff for review and completion.
  • Manage and organize all incoming request to medical staff mailbox(s) and other related communications as directed.
  • Perform as an intricate member of a program team and effectively interact with other staff to ensure all requests, phone calls, and scheduling of appointments is completed in a timely and efficient manner.
  • Attend and participate in team meetings as directed.

Job Requirements:

High School diploma; AA degree preferred

Experience:

  • Minimum 1 year in an office setting
  • Prior experience in a community mental health environment
  • Knowledge of Electronic Medical systems

Required Skills:

  • Excellent organizational and communication skills
  • Excellent customer service skills
  • Excellent computer skills and knowledge of Microsoft Office
  • Ability to learn necessary computer and technical skills essential to the position and Agency needs
